Privacy Notice
Who we are
DOCTOR CARE LIMITED (company number 08849372), trading as Doctor Care Aesthetics, is the data controller for the personal information described in this notice. Our registered office is 73 Golborne Road, London W10 5NP.

What information we collect
If you contact us through this website: your name, email address, telephone number and whatever you choose to tell us in your message. For academy enquiries we also ask about your current occupation, previous experience and preferred training dates.
If you become a patient: your contact details, your medical history, records of your consultations and treatments, the consent you have given, and — where you have specifically agreed to it — clinical photographs. Health information is special category data under UK GDPR and is treated with the additional protections that requires.
If you become a student: your registration details, assessment records, and identity verification where applicable.
We do not ask for medical or health details through the forms on this website. Your medical history is taken privately, in clinic, at your consultation.
Why we use it, and on what basis
We use your enquiry details to respond to you. Where you become a patient, we process your clinical data on the basis of our legitimate interest in providing the treatment you have asked for, together with your explicit consent for health data and for any photography. Student data is processed on the basis of our contract with you to deliver the training you have booked.
Photography is handled under a two-tier consent structure: consent for clinical-record photography and consent for marketing use are separate, and are given separately. We never use an image for marketing without that specific consent, and you can withdraw it.
Who has access to it
Access is restricted by role. Reception staff can see booking and contact information only; your clinical notes and medical history are visible only to the clinician treating you. Student files are restricted to the academy lead. There are no shared logins.
Our staff do not remove personal data from our systems — no photographs on personal devices, no records sent to personal email or personal cloud storage.
Third parties
We use a booking and clinical records system to manage appointments, records and consent. Any third-party system that processes personal data on our behalf is used only where a data processing agreement is in place and has been reviewed.
This website itself does not use advertising or tracking cookies, and does not share your information with advertisers. See our cookie policy.
How long we keep it
We keep personal data only for as long as it is needed. Clinical records are kept in line with professional guidance on minimum retention periods. Enquiries that do not become bookings are deleted on a shorter, defined schedule rather than kept indefinitely.
Adult clinical records are kept for eight years, in line with our clinical records policy. Academy student files, assessment records and the certificate register are kept for seven years.
Your rights
You have the right to ask for a copy of the personal data we hold about you, to ask us to correct it if it is wrong, and to ask us to delete it. Requests to delete a clinical record are not automatically granted, because we may be required to retain it for legal or clinical safety reasons — if that applies, we will explain why.
You can also withdraw a consent you have given — for example, consent for marketing use of a photograph — at any time.
To make a request, contact us using the details above. We will respond within the statutory timescale.
Complaints
If you are unhappy with how we have handled your personal data, please tell us first so we can put it right — see our complaints procedure. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk.
Changes to this notice
We review this notice at least annually, and whenever our processing changes.
